# Custom software development: from idea to working product

Custom software development is designing and building web applications, AI integrations and API integrations between systems for workflows a company cannot cover with off-the-shelf software. Roicool's software team focuses on software that touches marketing, sales and customer operations, and hands the source code over to the client.

## What is custom software development?

Custom software development is the work of designing and building applications, integrations or AI solutions for business processes that off-the-shelf software doesn't cover. The goal is to stop the team working around its tools: data isn't moved by hand, and the process runs in one system.

## Off-the-shelf or custom software?

Not every need calls for custom software; the right choice depends on how specific your process is.

| Situation | Off-the-shelf software | Custom software |
| --- | --- | --- |
| The process is standard in your industry | Usually enough | An unnecessary cost |
| The process is your own and a competitive edge | Hard to adapt | The right choice |
| Several systems need to be connected | Ready-made integrations can fall short | An integration layer is built |
| Customers need their own portal | Limited | A portal that fits your brand |

We first separate what existing tools can solve, and recommend custom software only where it is really needed.

## What do we build?

- **Web apps and customer portals:** Portals where customers can see the status of their quote, order or project themselves ([web app development](https://www.roicool.com/en/services/web-app-development)).
- **Integrations:** Connections that move data automatically between your CRM, ERP, website and ad platforms ([API integration](https://www.roicool.com/en/services/api-integration)).
- **AI solutions:** Applications that take AI out of the experiment stage and connect it to real business processes ([AI integration](https://www.roicool.com/en/services/ai-integration)).

For simple flows, ready-made automation tools may be enough: [Make vs n8n vs Zapier](https://www.roicool.com/en/comparisons/make-vs-n8n-vs-zapier).

## How does a project run?

1. **Discovery:** We map the process, the users and the systems to connect with you.
2. **Scope and prototype:** We write down what the first version will solve and validate the screens with a prototype.
3. **First version:** We build the version that does the most valuable work and try it with real users.
4. **Iteration:** We keep developing based on usage data and feedback.
5. **Launch and maintenance:** We launch, monitor and keep it up to date.

## Security and data

Custom software often touches customer and company data, so security is handled at the start of the design, not afterwards. We set role-based permissions, store data only where it is needed, log access and plan privacy requirements as part of the scope. After launch we keep dependencies and security updates current, and put a backup and recovery plan in place.

## What happens in the first 90 days?

1. **Days 0–30:** Discovery, scope, prototype and the technical plan.
2. **Days 31–60:** Building the first version and the integrations.
3. **Days 61–90:** Trial with real users, fixes and launch.

## How to choose a software partner

- **Do they ask about the process first?** Or suggest a technology straight away?
- **Is the scope in writing?** Is it clear what the first version will and won't solve?
- **Who owns the code and accounts?** Do the source code and infrastructure accounts stay with your company?
- **Are security and privacy in the plan?** Are permissions and data retention handled from the start?
- **What happens after launch?** How do maintenance, monitoring and development continue?

- **Off-the-shelf software doesn't fit your processes.** The team uses spreadsheets and email to work around the tools.
- **Your systems don't talk to each other.** Data is moved by hand between the CRM, ERP, website and ad platforms.
- **You need a portal for your customers.** Customers should be able to see the status of their quote, order or project themselves.
- **You don't know where AI fits.** There have been experiments, but they were never connected to your processes.

## Services

- [AI integration](https://www.roicool.com/en/services/ai-integration)
- [API integration](https://www.roicool.com/en/services/api-integration)

1. **Discovery:** workflows, users, data and systems.
2. **Scope and architecture:** the limits of the first version, technology and cost.
3. **Design and prototype**
4. **Development:** in short iterations, with a working version at each one.
5. **Testing, launch and documentation**
6. **Maintenance and further development**

**Who it is for:** B2B, SaaS and healthcare companies that need software or integrations built for their processes.

**Who it is not for:** needs that an off-the-shelf SaaS tool can meet; we recommend that tool first.

## FAQ

### What kind of software do you build?

Web applications, customer and partner portals, internal operations tools, AI integrations and API integrations between systems. Our focus is software that touches marketing, sales and customer operations.

### How is a project priced?

Fixed scope and price for work whose scope is clear after discovery; a team-per-period model for work with high uncertainty. We spell out the difference between the two in the proposal.

### Who owns the source code and intellectual property?

Unless the contract says otherwise, the delivered source code and documentation belong to the client; the code is kept in the client's repository.

### Do you provide maintenance after launch?

Yes. We set up a maintenance agreement for bug fixes, security updates and small improvements.

### How is data security handled in AI projects?

At the start of the project we decide which data goes to which model provider, whether it is stored, and how personal data is protected; the KVKK (Turkish data protection law) assessment is done with your legal counsel.
