Apollo.io is a sales intelligence and engagement platform that B2B sales teams use to find prospects, get their contact details and reach them with multi-step campaigns. It brings a contact and company database, record enrichment, and sequences made of email, phone and LinkedIn steps into one place.
What does Apollo do?
Apollo has four core functions:
| Function | What it does | Example use |
|---|---|---|
| Search and filtering | Finds people and companies by industry, country, headcount, job title and more | "Operations directors at logistics companies in Germany with 50–500 employees" |
| Enrichment | Completes records with email, phone and company data | Filling in missing phone numbers in the CRM |
| Sequences | Multi-step flows of email, call and LinkedIn tasks | A 5-step, 3-week outbound campaign |
| Integration | Syncs with your CRM and email accounts | Assigning a prospect who replies to a sales rep in HubSpot |
Apollo's Chrome extension also works on LinkedIn and company websites, so you can add contact details straight to a list.
Where does Apollo fit in the outbound process?
Apollo does not replace a strategy; it speeds up executing one. A solid outbound process is built in this order:
- Ideal customer profile (ICP). Which industry, what size, which country, what problem? Work backward from the customers you have already won.
- Persona and message. Who in the company will you write to, and what is their problem? A separate value proposition for each persona.
- List. Filter in Apollo by ICP, then validate with small samples.
- Infrastructure. Sending domain, SPF, DKIM and DMARC, domain warm-up, daily sending limit.
- Sequence. Short, personalized, value-led steps; back email up with phone and LinkedIn.
- Handoff to the CRM. Anyone who replies or accepts a meeting should land with the right rep, at the right stage, in the CRM.
- Measurement. Deliverability, then reply and meeting rates (not opens), then opportunities and revenue.
What to watch during setup
Email account and domain
The email account you connect to Apollo carries your sending reputation. If you start with a new domain, warm it up with low volume, keep daily sends per mailbox limited and set up the authentication records in full.
Data verification
Email addresses in the database are not always current. Set unverified addresses aside before sending; a high bounce rate damages your domain reputation.
CRM integration
Before connecting Apollo to a CRM such as HubSpot or Salesforce, decide: which fields sync in which direction, how duplicates are prevented, who new contacts are assigned to, and whether sequence activities are written to the CRM.
Common mistakes
- Broad list, generic message. Sending the same email to thousands of people lowers reply rates and raises complaint rates.
- Skipping the infrastructure. Sequences sent without authentication records end up in spam.
- Email only. In B2B, sequences without phone and LinkedIn steps struggle to reach decision-makers.
- Tracking open rates. Privacy features have made open tracking unreliable; look at reply and meeting rates instead.
- Ignoring the legal framework. Do not launch a campaign without assessing Law No. 6563 and the İYS rules in Turkey, and GDPR for recipients in Europe.

Frequently asked questions
Is Apollo.io free?
Apollo.io has a free plan with limited credits and features, plus paid plans. Plan contents and prices change often, so check Apollo's pricing page for the current details.
How reliable is Apollo's data for Turkey?
Data quality varies by country, industry and company size. Before a campaign, test email verification and bounce rates with a small list, and fill the gaps with other enrichment sources.
Does Apollo work with HubSpot or Salesforce?
Apollo integrates with CRMs such as HubSpot and Salesforce. It can push contacts and activities into the CRM and enrich existing CRM records. Decide during setup which fields sync in which direction.
Is it legal to send cold email with Apollo?
The tool is neutral; legality depends on who you email, what you send and on what basis. In Turkey, Law No. 6563 and the İYS rules apply, and for recipients in Europe, GDPR must be assessed. Get legal advice before a campaign.
